Classes, waitlists and memberships

Members book classes; a full class puts them on the waitlist, and the next person moves up when a spot frees.

Free to try with sample data. Sign in with your email and it's added to your workspace, ready to change. Matrixcape Build is in private beta.

The work it's for

Members and the front desk book classes; a full class can't be overbooked, so new bookings go on its waitlist; when someone cancels, the oldest waiting booking moves up and that member gets an email. The manager also tracks memberships and approves trainer hours. Used by the studio manager, trainers and members (each member sees only their own bookings).

  • Fill classes without ever overbooking them
  • Move the next person off the waitlist when someone cancels
  • Approve the hours trainers log

Try it. It's working software.

The real app with sample data, shown for a fitness studio. Switch roles (Owner, Studio manager, Trainer, Member) to see what each person sees. Nothing you do here is saved.

What it does today

Only what the app does right now. It works in any phone's browser, and every version is saved.

  • Members book a class from their phone; the front desk can book for them too.
  • When a class is full, the booking goes on the waitlist; when someone cancels, the next person moves up and is emailed.
  • Trainers log their hours; the manager approves them or sends them back with a reason.
  • A view for each person: Studio manager, Trainer and Member each see the screens and steps meant for them.
  • Classes move through clear steps: Open → Canceled.
  • Some steps ask for a reason (like sending a class back), and the reason stays on the record.
  • Bookings move through clear steps: Booked → Cancelled → Attended → No-show.
  • Memberships move through clear steps: Active → Paused → Canceled.
  • Some steps ask for a reason (like sending a membership back), and the reason stays on the record.
  • Trainer hours move through clear steps: Submitted → Approved → Sent back.
  • Some steps ask for a reason (like sending a hours entry back), and the reason stays on the record.
  • People who should only see their own trainer hours only see their own.
  • Each person sees only the bookings that are linked to them.
  • Works out booked, on the waitlist and spots left for you.
  • Never overbooks: bookings stop at the limit and go on a waitlist.
  • A calendar of what's coming up.
  • Sends emails on its own when something happens (preview only logs them, so nobody is emailed while you try it).

Make it yours.

Every template starts clean. After you customize it, change the look in Design or just ask: your colors and logo, fonts, corners, how compact it is, a board or a calendar, light or dark.

  • Clean

    How every template starts.

  • Your brand

Your colors, a serif, rounder corners.

  • Dark

    Easy on the eyes, compact.

Change how it works, not just how it looks.

The steps, who approves what, the rules, the reminders and the emails it sends are yours to change. Say it the way you'd tell someone on your team. You see each change before your team does, and your team keeps using the live version until you publish.

Changes you can ask for

  • “Email a member when they move off the waitlist into a class”
  • “Add a no-show count to each member and flag anyone over 3”
  • “Remind trainers the evening before their first class”
  • “Hours over 8 in a day need a note before they can be approved”

One app in your Matrixcape workspace, not a separate subscription.

Start with one problem. Build the rest when you need it: every app you add lives in the same workspace, with one sign-in for your team. The same app works for dance schools, music teachers, climbing gyms too.
